Referral/Justification Policy 

Purpose

At i-Thrive Well-being Ltd, we are committed to ensuring that Dual-Energy X-ray Absorptiometry (DEXA) scans and VO₂ max tests are conducted ethically, safely, and in line with best clinical practice. This policy outlines the referral and justification process to ensure that these assessments are appropriate, necessary, and beneficial to the client’s health and well-being. 

Referral Criteria

DEXA Scans

DEXA scans are recommended for individuals where body composition or bone density assessment is clinically relevant. Justifiable referrals include, but are not limited to: 

  • Osteoporosis risk assessment, particularly for postmenopausal women and older adults. 
  • Body composition analysis for individuals engaged in weight management, sports performance, or clinical nutrition programs. 
  • Monitoring bone health in individuals with risk factors such as prolonged corticosteroid use, eating disorders, or history of fractures. 
  • Pre- and post-treatment evaluation for osteoporosis or other metabolic bone diseases. 

VO₂ Max Tests 

VO₂ max tests are conducted to assess an individual’s cardiovascular fitness and aerobic capacity. Justifiable referrals include: 

  • Athletic performance assessment for endurance training, competitive sports, or personalized fitness programming. 
  • Medical evaluation for individuals with symptoms of reduced exercise tolerance, shortness of breath, or cardiovascular concerns. 
  • Exercise prescription and rehabilitation for clients with conditions such as obesity, diabetes, or metabolic disorders. 
  • Health optimization for clients seeking to track and enhance overall fitness levels. 

Referral Process

  • Referrals may be made by health professionals, fitness coaches, or self-requested by the client, provided justification aligns with the criteria above. 
  • If you are making a self-request, our in-house healthcare professional will review the justification before approving the referral to your requested service. 
  • A pre-assessment questionnaire must be completed to determine suitability and assess risk factors. 
  • Where necessary, medical clearance may be required before testing. 
  • Clients will be provided with information on the benefits, risks, and limitations of the test before proceeding. 

Justification & Safety Considerations

  • Each referral must demonstrate clinical or performance relevance and be in the best interest of the client. 
  • Tests will not be performed if contraindications are present, such as: 
  • DEXA: Pregnancy or recent high-radiation exposure. 
  • VO₂ Max: Uncontrolled cardiovascular conditions, acute illness, or injury. 
  • All procedures will be conducted in line with evidence-based guidelines and best practices to ensure safety and accuracy. 

Documentation & Record-Keeping

  • All referrals, justifications, and results will be securely recorded in the client’s file in compliance with GDPR and data protection regulations. 
  • Clients will receive a full written report outlining their results and any relevant recommendations. 

Review & Continuous Improvement

  • This policy will be reviewed annually to ensure alignment with evolving clinical guidelines and industry standards. 
  • Feedback from clients and referring professionals will be used to refine and enhance the referral and testing process.
